About the Opportunity: The Data Science Initiative (DSI) is a high-visibility, campus-wide initiative overseen by the Provostâ™s office and partnership with multiple Departments and Centers to develop a campus hub for research and education in the emerging field of Data Science. The Center for Computational Molecular Biology (CCMB) is one of the centers under the DSI umbrella, housing undergraduates (ScB and AB in Computational Biology), Ph.D. students in Computational Biology, and faculty where the fields of Computer Science, Ecology and Evolutionary Biology, Applied Mathematics, Biostatistics, Biomedical Informatics, and Molecular Biology, Cell Biology and Biochemistry intersect.
Responsibilities: Reporting to the Operations and Finance Manager, the Executive Assistant serves as the primary administrative support for the Director of the Data Science Initiative as well as the Directors of the subsidiary Centers within the DSI. The position requires an in-depth understanding of the Directorâ™s role and responsibilities including institutional engagement, directing the DSI and Centers, and relationships with external communities, and supports the effective and efficient execution of those responsibilities.
The Executive Assistant provides administrative support and contributes to special projects as assigned by the Director(s) or the Operations & Finance Manager. They may also fulfill administrative support needs for the Directors such as preparing presentations, making travel arrangements & itineraries, drafting letters of support and other correspondence, managing the organization and filing of appropriate materials for the Directors high level meetings.
The Executive Assistant performs several key functions including relationship management, project management, scheduling, and other logistics such as expenses and travel. The ideal candidate is customer service-focused, detail-oriented, resourceful, organized, efficient, proactive, self-motivated, and committed to social justice.
The Executive Assistant pro-actively organizes the Director(s)â™s schedules & calendars, manages various administrative functions, and monitors critical phases of important projects. This position is relied upon to assist the Director(s) and Leadership team with research, analysis and drafting language for reports to effectively support the work of the Data Science Administrative Core.
Qualifications: Education and Experience
Associateâ™s degree plus at least three years of administrative experience, or equivalent combination of skills and experience.
Competencies:
Supervisory experience preferred. Effective ability to coordinate with Management directing the work of others including student workers
Experience in a university setting is preferred.
Ability to take initiative and prioritize in a fast-paced environment with multiple deadlines and priorities
Strong communication and customer service skills to interact professionally with multiple audiences and people from diverse backgrounds
Ability to handle confidential or sensitive materials with discretion
Experience drafting professional, academic and scientific communications preferred
Strong organizational, administrative and time management skills. Initiative and judgment to independently problem solve and prioritize. The ability to independently develop and implement short and long term goals. Ability to work independently, but also as a team member when the situation warrants.
