The Department of Human Genetics is seeking a significantly experienced administrative professional to provide Lead Student Services administrative support to the Department of Human Genetics. This position will directly report to the Chief Department Administrator, but will work closely with the Department Chair and the faculty directors of each of the academic programs for our Department.
This position provides direct support to the Ph.D. Program, the Master’s Program, and the Genetic Training Program (GTP). Mentoring, training, and assistance is provided to the part-time Student Services Administrator of the Genetic Counseling Program.
Administrative support to the Ph.D., Master’s and GTP programs includes: recruitment, admissions, matriculation, curriculum management (course evaluations and schedules), effort certification, website updates, course assistance, program committee support, DHG student event management, and the processing of student-related financial and student benefit transactions. This position directly supervises temporary tutors for the Department. This position also regularly interacts with current and prospective graduate students, alumni, staff, faculty, and external stakeholders in the Medical School, University Departments, and outside of the University. As the Lead Student Services Administrator for the Department it is expected this individual would help to implement new student services policies, programs, or procedures, and would be integral to recommending and communicating student services administration business process improvements or policy changes to an array of audiences.
The successful candidate will have significant student services experience, administrative experience, and a history of leadership, working in a role requiring confidentiality, timeliness, customer service, organization, prioritization, troubleshooting, and working independently to successfully achieve results. They will also be comfortable working in a fast-paced environment with ever-changing priorities, be adaptable, able to balance multiple and competing priorities, and work as a member of the broader Department’s administrative team.
Genetics and Genomics Ph.D. Program Administration
Manage the on-boarding/off-boarding, recruitment, admissions, thesis defense/graduation coordination, student financials (i.e. stipend, benefits, tuition, and EBS award allocation), GSRA/and GSI Fellowship appointments, tuition program analysis, student effort certification, manage student award nominations and submissions, student counseling, event coordination (recruitment, graduation, welcome, and social), website content coordinator, process travel reimbursement in Concur, organize ASHG conference registration and membership, disseminate communications, liaison for PIBS and Rackham, and provide overall guidance to students regarding the program and requirements.
GTP T32 Program Administration
Apply expertise in the overall administration of the Genetics Training Program (GTP), recruitment, originate new trainee appointments, process reappointments, complete trainee terminations, compile program data and prepare tables for T32 renewals and annual progress reports, coordinate Short Course seminars (5 invited guest speakers), GTP Retreat (full day off-site with an invited guest speaker, three advanced trainee speakers, and a poster session), coordination of GTP program specific courses, website content coordinator, process travel reimbursements for invited guest speakers and make travel arrangements, disseminate communications, and provide overall guidance to trainees with regards to the program and its requirements.
Human Genetics Master’s Program Administration
Manage on-boarding/off-boarding, recruitment, admissions, graduation, special programs coordination (i.e. Pathways to Ph.D., Human Genetics Master’s Merit Award, and student award distribution), assist in development of new programs, student counseling, website content coordinator, manage student award nominations and submissions, disseminate communications, liaison for PIBS and Rackham, and provide overall guidance to students regarding the program and requirements.
Human Genetics Course Support
Collaborate with faculty & instructors, Canvas set-up and maintenance, classroom scheduling, course/instructor evaluations, facilitator for two weekly student lectures (HG821/822 and FAST), select and supervise temporary tutors for DHG courses, departmental tuition program analysis, and general course assistance. Coordination of student-related events, such as graduation, new student welcome, and student social. Manage student award nominations and organization of all student awards (award submission, financial distribution, and correspondence) and provide faculty and student guidance and assistance. Coordination of external conference virtual booths at SACNAS & ABRCMS and other conferences.
Genetic Counseling Master’s Program Administration
Training, mentoring, and assistance provided to the part-time Genetics Counseling Program Student Services Administrator.
Departmental Administration Team Support
HG student mailbox set up, maintain student email groups, answer phones, assist with opening and closing departmental office suite, conference room scheduling, and AV tech. Process reimbursement requests for DHG non-GCP Graduate and Master’s Students. Assist with department event planning, faculty recruitment visits, and other guest visitors. Assist with other department responsibilities, as requested.
- Bachelor’s degree in Public Administration, Healthcare, Business or another related field and five (5) years of progressively responsible administrative support experience working in a higher education setting in an academic/student services area.
- OR Associate’s degree in Public Administration, Healthcare, Business or another related field and seven (7) years of progressively responsible administrative support experience working in a higher education setting in an academic/student services area.
- Demonstrated leadership experience either inside or outside of the workplace.
- Excellent oral and written communication skills including demonstrated experience editing, proofing, and writing, as well as experience communicating to broad audiences.
- Demonstrated knowledge of student support and financial aid policies and processes.
- Demonstrated computer skills and the willingness to learn new software is necessary. Experience is required with use of MS Word, Excel, PowerPoint, Adobe Acrobat, and Google Workspace software.
- Exceptional organizational skills, accuracy, attention to detail, and follow-up.
- Demonstrative ability to work well within a team as well as independently; ability to exercise independent judgment when necessary and employ basic reasoning skills

- Experience working within the University of Michigan student services systems and Rackham Graduate School policies and procedures.
- Experience with University of Michigan purchasing policies and procedures, including Concur.
- Master’s degree in Public Administration, Healthcare, Business or another related field
- Experience with Outlook, Canvas, InDesign, and Photoshop.
- Experience with implementing new processes and procedures as well as recommending and communicating improvements.
- Intermediate data and quantitative analysis skills, with experience preparing analytical reports.
This position may be underfilled at a lower classification depending on the experience of the selected candidate. For an underfill the job title would be Administrative Specialist Intermediate, though working title would remain Lead Student Services Administrator. For this underfill position we would require a bachelor’s degree in Public Administration, Healthcare, Business or another related field and three (3) years of progressively responsible administrative support experience working in a higher education setting in an academic/student services area, OR an associate’s degree in Public Administration, Healthcare, Business or another related field and five (5) years of progressively responsible administrative support experience working in a higher education setting in an academic/student services area.
