Department of Medicine: Medical Genetics has an outstanding opportunity for a Program Manager.
This is an exciting opportunity to be an essential part of the growth and development of a recently launched fee-based Master’s degree program in Genetic Counseling at the University of Washington in Seattle. The Genetic Counseling Graduate Program (GCGP) is in its first year and offers an 18-month synchronous, cohort-based curriculum with a strong commitment to diversity, anti-racism, equity, inclusion, and justice.
The GCGP is housed within the Department of Medicine and the Continuum College. Its primary leadership includes a Director, an Associate Director, and a Director of Fieldwork Education. The staff includes a Program Assistant. We have 14 students in our first class, will have 16 students in our second class, and expect to admit 18 students for each class onward. The GCGP is accredited by the Accreditation Council for Genetic Counseling (ACGC) and prepares its graduates for certification by the American Board of Genetic Counseling (ABGC).
The Program Manager reports to the Program Director. The manager is responsible for ensuring GCGP functions occur reliably and in accordance with University and program requirements. Primary responsibilities include, but are not limited to, administrative support for University processes, records management, GCGP admissions process, reaccreditation through ACGC, budgeting, communications, event planning, student recruitment and retention, and student advising. This position is expected to exercise independent judgment, solve problems, document processes, and execute program initiatives that support the training of genetic counseling students and the needs of the faculty.
The Program Manager contributes to the University of Washington’s educational mission by supporting a graduate program that trains future genetic counselors for careers in healthcare. The Program Manager harnesses detailed knowledge of University, Graduate School, and GCGP policies to ensure the program is in compliance with all accreditation standards while also upholding its mission, vision, and values. The Program Manager coordinates day-to-day program operations and interfaces with students, faculty, program staff, and university stakeholders to ensure the sustainability of the GCGP.
This is a full-time, in-person position at the University of Washington Seattle campus. Up to 40% remote work may be approved.
RESPONSIBILITIES:
Admissions Process 35%
•Oversee and coordinate the GCGP admissions process •Support applicants and prospective applicants in matters related to the admissions process •Ensure timely pre-processing of applications received for each admissions cycle •Communicate and document all admissions decisions for applicants in the UW MyGrad system
Program Operations and Planning 25%
•Propose and implement strategies under the direction of GCGP Program Leadership for data collection to measure program effectiveness, plan for program improvement, and report/present results to stakeholders and outside entities •Coordinate GCGP faculty development events, workshops, programs, seminars, learning communities, and conferences •Coordinate GCGP messaging through written communications, annual reports, and budgetary reports
Program Management 15%
•Develop, implement, and oversee the administration of processes and systems that support GCGP’s education initiatives •Support the Program Director in directing and managing strategic communications •Research, understand, and provide guidance on University and Graduate School policies and procedures •Support Program Director in efforts that ensure compliance with federal and state higher education regulations and compliance with Accreditation Council for Genetic Counseling (ACGC) standards of accreditation •Support implementation of new strategic initiatives as defined by program leadership
Academic Advising 10%
•Support Director and Associate Director in advising of graduate students to ensure effective student progress toward GCGP learning objectives, degree requirements, university deadlines, and required paperwork for graduation •Perform administrative tasks that support delivery and evaluation of the GCGP curriculum •Manage quarterly time schedule •Support student matriculation, onboarding, registration, and graduation •Advise students on availability of resources and student services •Provide administrative support for student orientation, informational sessions, and recruitment events
Financial Management 5%
•Create annual budgets in collaboration with the Department of Medicine, Division of Medical Genetics, the GCGP students, and the Continuum College •Manage the general accounting and reporting functions of an annual budget including accurate forecasting of needs •Allocate and monitor spending, purchase order requests, expense reports, procard purchases, supply order requests, and other purchasing and reimbursement requests
Diversity, Anti-Racism, Equity, Inclusion, and Justice 5%
•Identify opportunities to increase diversity, anti-racism equity, inclusion, and justice in GCGP •Continuously learn about and advocate for implementation of diversity, anti-racism, equity, inclusion, and justice best-practices in graduate education
Other Responsibilities 5%
•Conduct other GCGP related duties as assigned
MINIMUM REQUIREMENTS:
•Bachelor’s degree in business or educational administration or equivalent education/experience •At least three years of experience with progressively increasing responsibility as an academic administrator, program manager, graduate program advisor, or related role
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

•Experience collaborating in a professional setting with people from diverse backgrounds •Excellent oral and written communication skills •Ability to work independently with a high degree of reliability, accuracy, and productivity •Experience with project management •Problem solving skills and independent judgment •Ability to interpret and communicate to others complex policies and procedures •Ability to create budgets and manage the long-term financial health of the program •Computer proficiency with spreadsheets, excel, word processing and databases in a Windows/Mac environment •Demonstrated commitment to welcoming and supporting students from diverse backgrounds •Strong organizational skills and ability to juggle multiple priorities and projects simultaneously •Strong interpersonal communication and collaboration skills with an ability to work professionally, productively and collegially with a broad range of stakeholders •Eye for detail and high standards of accuracy
DESIRED:
•Master’s degree in higher education administration or related field •2 or more years of experience as a University of Washington Graduate Program Advisor •Experience with UW Graduate School systems (e.g., MyGrad, IASystem, Kuali, etc.) •Experience with process documentation •Experience with specialized accreditation of university programs •Advanced skill with Microsoft Office Suite, especially collaborative tools, such as SharePoint •Experience in the methods and systems of continuous quality improvement •Previous work or experience in promoting diversity, anti-racism, equity, inclusion, and justice •Professional fluency in a language other than English
WORKING CONDITIONS:
The position may require the employee to occasionally work outside of regular business hours (e.g. evening information sessions, recruitment events, etc.) and may intermittently require evening and weekend time to meet project deadlines. May require both in-state and out-of-state travel.
