The Michigan Kidney Translational Medicine (MiKTMC) Core is seeking a highly-qualified candidate for a multi-faceted position that includes providing an exquisitely-professional level of support to Dr. Matthias Kretzler, Warner-Lambert/Parke-Davis Professor of Internal Medicine/Nephrology and Computational Medicine and Bioinformatics (Director of the Michigan Kidney Translational Research Core – MiKTMC). The candidate must convey a highly professional image and demeanor at all times, have the ability to multi-task, be exceptionally detail-oriented, able to work with limited supervision, demonstrate clear communication, and exercise independent judgment and initiative in interpreting policies and handling daily office responsibilities. Experience with international travel arrangements, travel visas with various State departments, and the University’s CONCUR system is strongly preferred.

Expectations of Specialist-Level Support for Dr. Kretzler – 90%
Performs advanced, diversified, and confidential administrative duties requiring broad and comprehensive professional experience, well-developed written communication skills, and knowledge of organizational policies and practices.
Knowledge of both private and public-sector environments is a plus.
Prepares correspondence, memoranda, reports, etc. Initiates routine and some non-routine correspondence and memoranda. Screens telephone calls and visitors, and resolves routine and complex inquiries on scheduling meetings, teleconferences, videoconferences, and other.
Intense, intrinsic motivation and work-ethic to learn the overall business operation and research goals of the Lab (to facilitate decision-making and prioritization of meeting requests/appointment scheduling, etc.). This includes frequent outreach to team members to gain overall understanding of major partners and collaborators within the University, at other academic institutions, at Federal institutions (NIH), and at our private-sector sponsor organizations.
Well-developed knowledge and ability to manage complex, international travel arrangements for Dr. Kretzler and occasionally other lab members. Ability to modify these arrangements sometimes with very little notice. Willingness to occasionally be available to assist outside of business hours when Dr. Kretzler is traveling.
Utilize creative, thorough thinking and deductive reasoning skills in the occasional absence of complete instructions. Persistent pursuit of clarification if expectations are not clear.
Exhibit proactive and exceptional problem-solving skills under occasional time constraints.
Exquisite attention to detail for meeting times, transport (air, train, airport shuttle, etc.) arrangements, hotel reservations, travel dates, visa requirements, conference registrations, itinerary development, agenda maintenance, etc. Schedules and maintains an intricate calendar of appointments, meetings, and travel itineraries, and coordinates related arrangements.
To the extent possible, anticipate calendar needs (travel time between meetings, etc.). Has an appreciation for playing Tetris with Outlook calendars and availabilities.
Work closely with Admin Team to coordinate travel arrangements for visitors including transport, hotel, and hosting. Manage scheduling and itinerary development for visitors to the Lab.
Effective management of University of Michigan reporting and administrative obligations for Dr. Kretzler (CONCUR Expense Reconciliation, Clinical Schedule and Hospital Privileges, CV and M-Inform Updates, tracking trip expenses, etc.).
Highly effective and professional communication skills via email/telephone/in-person interactions that protect and manage Dr. Kretzler’s time.
Effective time management and access control to ensure Dr. Kretzler’s obligations are met. Anticipation of meeting end-times, transition times, priorities, etc.

- Bachelor’s degree and reasonable professional experience.
- Minimum of 3 years of progressively responsible office experience, especially supporting executive leaders.
- Demonstrated skill in handling highly confidential and sensitive information.
- Minimum of Intermediate-level proficiency in Microsoft Office Suite (for example, develop formulas in Excel), Drop Box, Zoom and Google collaboration tools and an interest in learning new software applications
- Knowledge of University of Michigan systems, policies, and processes (CONCUR, M-Inform, M-Pathways, Purchasing, etc.).
- Knowledge and application of project management best practices
- Interest in working with diverse teams and with individuals at all levels across a large, decentralized organization.

Occasional early or late hours, as requested, to support onsite meetings, offsite teleconferences and international meetings.
