USCâs Zilkha Neurogenetic Institute (ZNI) is seeking a Project Specialist-Administrative to join its team at the Health Science Campus.Â The Project Specialist-Administrative provides specialized support with managing special events in a university setting across multiple sites, including organizing the Annual Zach Hall Lecture and Zilkha Symposium and other special meetings and events, organizing all aspects of virtual and in-house seminar series, hosting VIPs, promotional and development activities, including calendar and announcements, travels, itineraries, honoraria, and reimbursements.
Special projects include preparing the ZNI annual report, managing content on ZNI and Department of Physiology and Neuroscience website andÂ social media outreach, preparing information for brochures, cataloging of publications, acquiring data from multiple sources, laying out text and images, editing and preparing articles for publication in quarterly newsletter, promotion of ZNI events
This position will serve as an alternate Administrator for assisting in the Directorâs meeting and travel schedules, including Zoom meetings, conducting online research to aid in preparing daily itineraries, organizing files and calendaring.
The ideal candidate should be motivated to succeed and able to multi-task in a high-energy environment, producing results while maintaining a pleasant, professional demeanor.
Preferred Experience:â¢ Knowledge of University Financial Systems, strong computer skills: Excel, Airtableâ¢ Knowledge of IT to assist with AV equipmentâ¢ Proficiency using business application software including MS Word, Outlook, Access, Excel, PowerPoint, web-based programs, browsers, electronic mail, databases, and computerized scheduling and reservation system (calendar and meeting matrix)â¢ Processes internal requisitions and assist Facilities Manager with POs and placing ordersâ¢ Proven ability to work independently and effectively with minimal supervision; make decisions; accurately anticipate executive needs; take initiative; learn quickly; demonstrate flexibility; and maintain professional composure while working under pressure of frequent interruptions and changing prioritiesâ¢ Cash receipts: deposits for refunds/credits for vendors. Checks from institutions for work provided by ZNI Professorsâ¢ Assist with the processing Non-Catalog Goods & Non-Catalog Services for ZNI Facilities and labâs when orders are submitted by quotes
