The Department of Biology seeks part-time assistance (15-29 hours per week) with procurement, stockroom, and delivery responsibilities. There are a variety of administrative work performing moderately complex tasks consisting of, but not exclusive to the following tasks:
Prepare purchase orders for the goods and services used by research labs.
Track and expedite orders.
Audit acknowledgements, packing slips and invoices for accuracy; audit invoices and authorize payments to vendors.
Advise faculty on products, vendors and pricing, and verify sufficient funds for purchases.
Advise department personnel of purchasing procedures and assist them in choosing vendors, types of equipment and supplies based on past history and best pricing.
Serve as liaison between department, vendors, and IU purchasing regarding products, pricing discrepancies, problems pertaining to orders and return of goods.
Other duties as assigned in the purchasing/stockroom area such as assisting with receiving and delivery.
High school diploma or GED.
Some experience with purchasing/procurement services and/or receiving and delivery.
Responsible and attentive to detail.
Good organizational skills.
Strong customer service experience and ability to use computers (i.e. spreadsheets, databases, word processing software).
Attention to detail.
Ability to communicate with and provide customer services to a diverse population of faculty, staff and graduate students.
Ability to work independently and with frequent interruptions while maintaining a high level of productivity and accuracy essential.
Willingness to back up others.
Ability to follow written instructions and keep accurate records.
Willing to complete Indiana University's Environmental Health and Safety Laboratory Training.
Working Conditions / Demands
Role requires the ability to effectively communicate with others. This position involves sedentary work as well as periods of time moving around an office environment and the campus. When backing up the Inventory Coordinator, must have ability to stand multiple hours per day and lift up heavy items up to 25 pounds multiple times per shift. Possible exposure to fumes, odors, etc. that may affect respiration and skin. The person in this role must be able to perform the essential functions with or without an accommodation.
Candidates should be available to work during regular business hours of 7:30 a.m. - 4:30 p.m.
