The Program Coordinator is part of the Department of Biological Sciences at Vanderbilt University and is a key contributor, as part of departmental core administrative team, conducting business activities of departmental programs. This position handles student & program related administrative issues. Reporting directly to the Program Coordinator, this position works with the Program Coordinator, program directors, faculty, other administrative staff, and students.
The primary responsibilities include general program support, student payment administration, financial administration, & other administrative duties. This position is 40 hours per week and requires thorough knowledge and understanding of University policies and procedures.
The Department of Biological Sciences covers a broad spectrum of biology, from molecules and cells to tissues and organisms to populations and ecosystems. Award-winning faculty and graduate students teach and carry out research in Biochemistry, Structural Biology and Biophysics, Cell Biology, Genetics, Molecular Biology, Computational Biology, Evolutionary Biology, Ecology, Developmental Biology, and Neurobiology. More than 60 undergraduates each year participate in independent research projects, leading ta number of publications with undergraduate co-authors.
The Master's Program in the Biomedical Sciences provides opportunities for students wishing to become competitive applicants for admission to the full range of health professional schools. There are two tracks referred to as EDGE and CHANGE. Edge students encompass those students coming from science backgrounds but wanting to create a competitive edge for their applications. Change students encompass those making a career change requiring post-baccalaureate courses to satisfy entrance requirements for programs in the health sciences. Students in both tracks have the opportunity to engage in laboratory research.
The Vanderbilt Learning Assistant (LA) program recruits and supports undergraduate students to serve as peer-leaders in a range of large, introductory STEM courses. LAs support faculty by facilitating small-group discussion during class in an active learning environment and participate in a course on pedagogy.
Duties and Responsibilities
General program & department support
Oversee greater than 40 graduate students' progression through program, including milestones, planning, registration, financial aid, other requirements.
Generate & maintain program reporting
Coordinate recruiting activities
Serve as point of contact & communication, responding & directing inquiries as appropriate
Communication requirements, deadlines, application & other information to students
Coordinate & provide administrative support to program faculty & committee(s)
Coordinate with faculty regarding student payments/employment as applicable
Monitor budgets and spending
Review monthly spending and resolve discrepancies in a timely manner
Event planning for guest speakers and lecture series
Book travel for guests and arrange itineraries (ground transportation, meals, meetings etc.)
Work closely & maintain communications with the Program Director(s) & Department Chair
Other duties as assigned
An Associate's Degree or Bachelor's Degree from an accredited institution of higher education is necessary.
Experience working in a higher education/academic setting highly preferred.
Rigorous attention to detail and strong organizational & analytical skill is necessary.
