The new Herbert Wertheim School of Public Health and Human Longevity Science is dedicated to health and social equity and has over 80 primary salaried faculty, 25 secondary faculty, 200+ personnel, 175 postgraduate students, and 500 undergraduate majors. The School includes activities in the Public Health disciplines of Behavioral Medicine, Biostatistics & Bioinformatics, Epidemiology, Global Health, Health Policy, and Preventive Medicine.
The School has strong collaborative research programs facilitated by Research Centers of Excellence focused on Wireless and Population Health Systems, Health Promotion and Equity, Women's Health, Tobacco Control, Cardiovascular Epidemiology and Prevention, and Integrative Health and has extensive collaborations with the School of Medicine, Skaggs School of Pharmacy, Jacobs School of Engineering, the Scripps Institution of Oceanography, Moores Cancer Center, the Altman Clinical and Translational Research Institute, and with other partners across the UC San Diego campus. Partnerships with the community and health agencies are fundamental to the School. The School houses five recharge cores providing services to UCSD and external customers. Research in the School includes ~$125M total awarded grants and contracts.
The School has and administers two PhD programs (Public Health and Biostatistics), a Master of Public Health professional degree program, an MS in Biostatistics, the only Health Sciences undergraduate program (BSPH), an MAS in Leadership of Healthcare Organizations run in conjunction with Extension, and a Preventive Medicine residency program.
The Executive Assistant will provide high-level administrative and operational support to the Dean and Associate Dean for Business Affairs (AD-BA) in the accomplishment of research, educational, and community programs and facilitating the needs of the School. The Executive Assistant will also work closely with the Dean's Chief of Staff. Responsible for scheduling, calendaring, and coordinating/planning complex meetings, travel arrangements, speaking engagements, and special events, ensuring that the executive is briefed prior to events. Processing of payment authorizations, purchase orders, and travel reimbursements using online systems and contract, grant, and publication support. Serve as liaison to faculty, staff, other senior leaders, professional societies, and other universities and academic institutions.
Compile, analyze, and present information and data to be used in administrative planning, professional and academic committees, and conferences, triage correspondence and telephone calls, draft correspondence, and prepare reports. Resolve problems without direct involvement of Dean / AD-BA. Independently responsible for the administration of projects and provides research and analysis for complex issues and makes recommendations for potential solutions or corrective actions. Ability to interface with a diverse range of individuals and groups with diplomacy, equity, sensitivity, discretion, and tact is essential, maintaining and projecting calm in fast-paced circumstances. Position requires strict confidentiality, a high level of organizational skill, attention to detail, flexibility, and independent judgement.
Bachelor's Degree in related area; and/or equivalent experience/training.
Four (4) years experience supporting high-level executive including experience coordinating, maintaining and arranging complex calendars for meetings, appointments, and travel.
Familiarity with the organization's processes, protocols and procedures.
Thorough knowledge of federal regulations such as FERPA.
Proven knowledge of common organization-specific and other computer application programs.Solid analytical/problem-solving skills. Experienced with data/information management software such as Excel for lists, project tracking, tables, etc.
Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies.
Demonstrated advising and counseling skills. Strong service orientation.
