Assists with the preparation of executive presentations, reports and correspondence
Organizes ad hoc and regular departmental events
Maintains schedule for Chairman of the Department of Human Genetics
Coordinates travel arrangements and itineraries for Chair, faculty and visitors
Coordinates meetings within the department
Works closely with faculty leadership and senior administrators in the recruitment and promotion for high level faculty and administrative leadership positions
Processes payments and reimbursements for faculty and staff
Maintains and update the departmentâ™s website
Performs other related work as needed
Provides confidential and high-level administrative support for the Chairman (a leader).Â Stays informed of activities relating to University programs and initiatives, apprising the Chairman of issues when deemed necessary.Â Coordinates information flow from Chairmanâ™s office to University.Â Relieves Chairman of administrative responsibilities.
Initiates correspondence and other written materials under own signature or for signature of the Chairman.Â Triages emails and telephone calls for action.Â Resolves routing and complex inquiries.Â

Minimum of seven years of progressively responsible administrative experience
Previous executive level experience
Knowledge of Buysite and GEMS
Familiarity with central administration within a complex research university environment
Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Ability to handle public contacts with courtesy, clarity, and diplomacy.
Ability to handle sensitive and confidential situations and information with absolute discretion .
Ability to maintain calm and courteous demeanor and to work productively despite heavy workload, competing priorities, complex problems, and tight deadlines.Â
